Critical · Payment approval workflow: all payment batches require CFO or Controller electronic approval before release; approval thresholds can be set per bank account

Brex: PartialRamp: PartialExpensify: Partial

SummaryBrex partially supports this: For your 3-person AP team sending bi-weekly check runs and monthly ACH batches out of Sage Intacct, Brex's Bill Pay approves each bill's payment individually. Ramp partially supports this: For your 3-person AP team (about 1,800 invoices a month, bi-weekly check runs and monthly ACH batches across 2 Sage Intacct entities), Ramp separates bill approval from payment release. Expensify partially supports this: For your 1,800 invoices a month and bi-weekly check and monthly ACH runs in Sage Intacct, Expensify's Bill Pay creates a bill from each emailed vendor invoice, and the bill follows your workspace's approval process.

Brex — Partially supported · Grade A

Partial

For your 3-person AP team sending bi-weekly check runs and monthly ACH batches out of Sage Intacct, Brex's Bill Pay approves each bill's payment individually. It does not approve a whole batch. A drafter or AP clerk uploads or emails in an invoice, and Brex AI fills the draft. The drafter picks the funding account and send date on that bill (Brex Bill pay and Brex Essentials/Premium Bill pay implementation guides). The bill then moves through the approval chain set in the Bill pay policy, which Brex says can be tailored by amount, vendor and employee role (Brex bill pay product page; Approval chains help article). Brex starts the payment automatically on the scheduled date once the bill is fully approved. Approvers can act from the dashboard or from email, and a CFO or Controller can be named as a required step. Self-approval blocking exists, but only if Brex enables it and there are two or more admins (Approval chains help article). This operates after invoice capture and PO matching, at the payment-release stage of the journey. Fact sheet claims 0edc58ff and ebc3440f support the approval-flow and PO-match context.

Limitations

I found no documentation of a payment-batch release gate, or of approval thresholds set per bank account. Thresholds are based on bill amount, vendor and role, and the funding account is picked bill by bill. So a CFO/Controller sign-off that depends on which bank account funds the payment would have to be rebuilt as per-bill rules, and it may not behave like a check-run or ACH-batch approval. The Sage Intacct sync of bills is one-way from Brex, so approvals made inside Intacct would not gate Brex payments, and Brex's own approval chain would have to be the control.

Ramp — Partially supported · Grade A

Partial

For your 3-person AP team (about 1,800 invoices a month, bi-weekly check runs and monthly ACH batches across 2 Sage Intacct entities), Ramp separates bill approval from payment release. Under Bill Pay settings > Approvals, an admin turns on Payment Step Approvals (Ramp Plus) and names Payers. Once a bill is fully approved it shows 'Ready for release', and a Payer must release it before funds go out. This covers ACH, check, wire and international payments; card payments need a separate toggle (Ramp help center, Bill Pay payment release). Payment Runs, also on Ramp Plus, let an AP clerk group approved payments so a Payer can review and release the whole run at once. This suits teams where the person entering bills differs from the person authorizing payment (Ramp help center, Payments Runs on Ramp Bill Pay). The fact sheet also says Ramp lets you decide who can view, approve or pay while keeping separation of duty, and that bills can be routed up to CFO signoff. In the pre-processing journey this sits after approval and coding, at the payment gate. The help center says Sage Intacct bills and payments sync back, and that two-way payment status sync runs automatically for Sage Intacct.

Limitations

I found no help-center documentation of approval thresholds set per funding bank account on payment release. The documented controls are a named Payer list and a 'configured branch' per payment, while the amount, entity and vendor conditions are documented for bill approval. Your CFO/Controller-per-bank-account rule may need a demo to confirm, and Ramp's own community forum records a request for a batch-level approval step separate from the release step. Payment Step Approvals and Payment Runs also require Ramp Plus.

  • “Ramp automatically routes every bill to the right approver—from routine spend to CFO signoffs.” (product, body) source
  • “Set roles and permissions that scale with your business. Decide who can view, approve, or pay—and keep separation of duty.” (product, body) source
  • “Whether you’re paying 5 or 500 bills, save time and cut costs by batching vendor payments.” (product, body) source

Expensify — Partially supported · Grade A

Partial

For your 1,800 invoices a month and bi-weekly check and monthly ACH runs in Sage Intacct, Expensify's Bill Pay creates a bill from each emailed vendor invoice, and the bill follows your workspace's approval process. That means bills go through the same workflow as expense reports. Each report must be approved by every person in its workflow before it can be paid, and you can add another approval level when a report exceeds a set amount. Payment is then made by connecting a business bank account and selecting an authorized payer, who must be a Workspace Admin with access to that account. This covers legitimacy review and coding (pre-processing stages 1 and 5) at the bill level. It does not add a separate CFO or Controller release step on a payment batch.

Limitations

Approval limits attach to workspace members, and the authorized payer and auto-pay threshold are set per workspace. I found no documented per-bank-account approval thresholds and no batch-level CFO or Controller release gate for check and ACH runs. Also, any Workspace admin or Payments admin can pay reports from a bank account they have access to, which weakens a strict CFO/Controller-only release control. Payment approval would have to be rebuilt through bank account access and role assignment, or handled outside Expensify.

SummaryRamp supports this: For your 3-person AP team handling about 1,800 invoices a month across two Sage Intacct entities, Ramp's analytics sit after invoice capture and approval. Brex partially supports this: For a 3-person AP team processing 1,800 invoices per month across 2 Sage Intacct entities, Brex provides a unified spend dashboard that claims to aggregate corporate card spending, employee reimbursements, and bill payments in a single view with real-time data. Expensify partially supports this: For a $120M services company processing 1,800 AP invoices per month across two Sage Intacct entities, Expensify offers an Insights module with three pre-built views that map directly to the buyer's stated analytics needs: Spend over time (total spending changes over a selected period), Top Spenders (members with highest spending), and Top Merchants (which vendors account for the most spending).

Ramp — Supported · Grade A

Supported

For your 3-person AP team handling about 1,800 invoices a month across two Sage Intacct entities, Ramp's analytics sit after invoice capture and approval. They report on bills that have already been coded and synced. Reporting lets you build saved reports, organize them into dashboards, and track spend across Cards, Reimbursements, and Bills. That means PO-based and non-PO invoices appear alongside card spend, not in a card-only view. All vendors paid by card and by bill are housed in a Vendors table showing owner, department, total spend, and more. The Vendors export also has a "Via Bills" view, which gives AP-only vendor spend. For GL category, Ramp's bill coding fills the GL category, location, and department fields on each bill and line item (auto-coding agent). The Sage Intacct integration pulls in your custom fields and user-defined dimensions so you can code them within Ramp. Exports then add columns for each accounting dimension configured in the integration, such as category, department, project and class. Saved reports and dashboards can be built for top vendors and category views. The fact sheet also notes AP spend is mapped to 1099 boxes ().

Limitations

Emailed or scheduled report exports and report sharing require Ramp Plus. That is the same tier Sage Intacct integration already sits on, so budget for it. The help articles I found do not show a single prebuilt vendor-by-GL month-over-month view, or confirm how reports roll up across your two Intacct entities, so confirm both in a demo using your own entity structure.

Based on

  • “Up to 95% of businesses reported improved visibility” (product, marquee_stat) source
  • “All your bill pay spend is mapped to 1099-NEC and 1099-MISC boxes with calculations done for you.” (product, body) source

Brex — Partially supported · Grade A

Partial

For a 3-person AP team processing 1,800 invoices per month across 2 Sage Intacct entities, Brex provides a unified spend dashboard that claims to aggregate corporate card spending, employee reimbursements, and bill payments in a single view with real-time data. Brex's reporting page describes the ability to "track all spend in one place" and to see how spend is tracking across cards, reimbursements, and bill payments — all in one dashboard. Within the Bills module itself, the Bills view supports filtering by vendor and GL account, and an admin can download the bill view by clicking Download and choosing a file format, with the export including the columns shown in the current filtered view. This means a vendor-sorted, GL-filtered export of bill pay data is achievable as a transactional list. However, the pre-built spend reporting module that Brex documents most specifically — covering top-vendor ranking and month-over-month trend charts — is scoped to purchasing cards: "Spend insights give you an at-a-glance summary of recent activity on a purchasing card" and are explicitly noted as "available for p-cards only." The broader Reports section is documented as covering "card expense and reimbursement details" with the ability to run reports narrowed by spend over time, spend limits, categories, users, merchants, or departments — AP bill pay vendor spend is not explicitly called out as a pre-built view in this module. For Sage Intacct specifically, Brex's Sage Intacct integration automatically maps transaction types and fields including GL accounts, subsidiary, location, department, vendors, customers, projects, and user-defined dimensions, so GL account data from the buyer's Sage Intacct chart of accounts does flow through Brex. For teams that need to go further, Brex's API can surface real-time financial data, pull transaction data into Google Sheets or Excel to create custom reports and charts, and support bespoke analytics tools for fine-tuned expense tracking.

Limitations

The buyer's core ask — a pre-built analytics view showing top AP vendors by invoice spend, spend by Sage Intacct GL category, and month-over-month trending across both Sage Intacct entities — is not fully evidenced in Brex's help documentation; the documented pre-built top-vendor and trend chart features are explicitly card-scoped, and the broader spend reports module is described around card and reimbursement data rather than AP bill pay vendor analytics. Producing GL-category trending and ranked-vendor views from AP invoice data would likely require using the filterable Bills export or the Brex API to construct the analysis outside the platform's native dashboards.

Based on

  • “With Brex, your purchase card and bill pay transactions will be automatically mapped to your ERP fields and GL codes, and you can view all your spend in one place, in real time.” (product, body) source

Expensify — Partially supported · Grade A

Partial

For a $120M services company processing 1,800 AP invoices per month across two Sage Intacct entities, Expensify offers an Insights module with three pre-built views that map directly to the buyer's stated analytics needs: Spend over time (total spending changes over a selected period), Top Spenders (members with highest spending), and Top Merchants (which vendors account for the most spending). Spend over time supports month-level grouping as the default, with quarter and year options as well. Top Categories shows which expense categories had the highest total spend, reporting all categories sorted by total spend and number of expenses. On the Sage Intacct side, categories are the primary method for matching expenses to Sage Intacct accounts, and when configured to export as Vendor Bills, categories are mapped to the Chart of Accounts (GL Codes). The critical limitation for this buyer is that throughout Expensify's Insights documentation, Insights are described as pre-built reports that group and analyze expense data automatically, with no documented confirmation that vendor bills processed via Expensify Bill Pay are included in the Insights data pool alongside employee expense reports. If AP bills are excluded from Insights (which the documentation strongly implies by referring exclusively to 'expense data' and 'expenses'), the analytics would reflect only employee-submitted expense reports rather than the full AP invoice spend the buyer needs to analyze. Additionally, grouped totals and chart summaries from Insights cannot be exported directly; only the underlying expense-level records can be downloaded, limiting use in finance reporting workflows. A Vendor Spend Analysis is available, but it is a custom report type created with Account Manager assistance, not a self-service dashboard. There is no documented consolidated analytics view spanning the buyer's two Sage Intacct entities within a single Insights screen.

Limitations

Expensify's Insights analytics are documented exclusively in terms of employee expense and card spend data; no help documentation confirms that AP vendor bills (the buyer's primary transaction volume at 1,800 invoices/month) are included in Insights calculations, which would mean the top-vendor and GL-category views reflect only a subset of actual company spend. Grouped chart data also cannot be exported directly, requiring a workaround of downloading raw expense-level records for any off-platform trending analysis.

For your 2-entity Sage Intacct environment (about 1,800 invoices a month, 55% PO-based), Ramp connects through a native integration that your team can set up without a services engagement. The initial setup on Sage takes a few minutes and only needs to be done once, and you then enter Web Services User credentials into Ramp. Ramp's Intacct integration also runs under Ramp's own partner SenderID, so you do not need to buy a web services developer license from Sage. Ramp's onboarding page lists setup with a dedicated onboarding specialist. A Ramp job posting for its Bill Pay activation team describes the same 1:1 model, with customers onboarded within 60 days and under two calls (60 days and under two calls). Once connected, Ramp syncs with the ERP in real time (fact sheet claim 4a9e266f), covering bill and vendor sync and PO/item-receipt import for 3-way matching. This sits at pre-processing stages 2 to 5, after the invoice has arrived. Multi-entity support is part of the Ramp Plus tier, which is a priced tier and not a separate services purchase (Ramp Plus costs $15 USD per user per month plus a platform fee based on team size).

Limitations

No Ramp document explicitly commits that the onboarding specialist will configure your two Intacct entities, dimensions and PO/item-receipt sync. The Intacct help articles are self-serve guides, and Enterprise lists "custom implementation scoping" as a distinct line. Vendr reports that complex custom integrations or data migration may carry professional services fees, so get a written statement in the contract that Intacct multi-entity setup is covered with no separate SOW.

Expensify — Supported · Grade A

Supported

For your 2-entity Sage Intacct environment, Expensify's Sage Intacct connection is a documented self-service setup that the vendor does not price as a separate project. The admin creates a web services user, enables Customization Services (and Time & Expenses if exporting expense reports), downloads the Expensify package, uploads it to Intacct, and enters credentials in Workspaces > Accounting (Expensify Help: Connect to Sage Intacct). Expensify's Control workspace guidance says Control plan users get an Account Executive to assist with onboarding, reachable in the workspace's #admins room (Expensify Help: Playbook for Small to Medium-Sized Businesses). The Sage Intacct integration is only available on the Control plan, and Expensify lists it as a direct integration, with each workspace connectable to a specific entity or the top level (Expensify Help: Configure Sage Intacct; Expensify + Sage Intacct page). Expensify also advertises a two-way sync with Sage Intacct (fact sheet claims 09935151, 6f1a210c). Setup help covers the connection and the intake stage of the pre-processing journey. It does not cover PO matching or receipt confirmation.

Limitations

The documented assistance is a general onboarding Account Executive plus self-serve checklists, not a scoped, hands-on Intacct implementation. The Sage-side prerequisites (web services user, Customization Services, and possibly a separately paid Time & Expenses subscription from Sage) still fall on your team or your Sage partner. Because each Expensify workspace connects to one entity at a time, your 2 entities would need a configuration per entity. I found no Expensify contract language guaranteeing integration help at no additional cost, and the integration is built around expense reports and bills, not a 1,800-invoice-per-month AP workflow with 3-way matching.

Brex — Unclear · Grade A

UnclearEvidence does not settle it

Public documentation covers the area and does not answer this requirement either way.

For your 2-entity Sage Intacct environment, Brex documents a self-serve connection. Your admin creates a Brex role and a Web Services user in Intacct, completes the connection, then maps GL accounts once per entity (Brex Sage Intacct integration help article). Bill Pay then syncs one way from Brex to Intacct: vendors and bills sync once a bill is fully approved, and a vendor is created in Intacct if no name match is found (Brex 'Syncing your bills' article). The fact sheet also says Brex automates GL coding by entity and maps bill pay transactions to ERP fields and GL codes. This work sits in the invoice-coding and payment-sync stages, not in receipt confirmation. The help center shows how to configure the integration, but I found no Brex page saying that integration setup assistance is included in the subscription or implementation fee, or that it is excluded and sold as a separate SOW.

Limitations

Brex's day-one onboarding connection covers QuickBooks Online, Xero and Puzzle, not Sage Intacct, so your Intacct setup falls to the documented admin steps. Top-level posting also requires contacting Support. Get written confirmation of who configures the two-entity mapping and Bill Pay sync, and at what cost, before treating this as included. Brex has also not been shown to have a published professional-services fee for this work.
